How the appointment process works
How the appointment request works
The appointment request process allows the user to request an appointment with the desired workshop by indicating the services required for their vehicle.
This process reduces the management required by the garage by scheduling the reception of vehicles and the scheduling of mechanics.
The appointment request is structured in this steps:
1. Workshop
2. Vehicle
3. Services
4. Appointment
5. Availability
6. Contact
7. Summary
Appointment request steps
1. Workshop
In the first step the user can select the workshop from a list of workshops associated with the brand. In the desktop version a map is displayed on which the workshop can be selected.
2. Vehicle
This is the step related to the customer vehicle information. In this step the following data must be indicated:
Make of vehicle: This can be selected from a drop-down list.
Model: The user indicates the model of the vehicle.
Plate number: The user enters the plate number of his or her vehicle.
Approximate kilometres: The user enters the approximate kilometres of his vehicle.
3. Services
When the user reaches this step, a list of services offered by the workshop is displayed for the customer to select as many as he/she needs.
The list displayed is configurable so that all types of services can be shown.
A service can be selected to display a text field for the customer to add details.
The services are configured with an associated mean time to subsequently calculate the required availability of the mechanics.
The system allows the services to be associated in three categories: heavy mechanics, light mechanics and bodywork and painting.
This assignment means that depending on the services selected by the customer, the order generated in SIMA Desktop is automatically associated with the person in the team of mechanics who works on that type of service and has the highest availability of the team.
The system allows one of the mechanics in the team to be over-scheduled, never exceeding the total availability of the entire team. If this happens, the workshop manager must adjust the planning of the team and distribute the workload among the mechanics.
4. Appointment
After indicating the services, the next step is the selection of date and time to take the car to the garage.
In this step, a calendar is displayed to the user so that he/she can easily select the day. The calendar will only show the days on which mechanics are available to work on the customer's vehicle.
Once the day has been selected, the customer has a list of time slots in which an advisor will be available to meet them at the workshop.
5. Availability
Depending on the time slot selected by the customer in the previous step, a list of times during which the advisor is available to receive the customer is displayed.
6. Contact
In this step the customer is asked for his contact information, the following data must be indicated:
Name and surname
Mobile
Phone
7. Summary
Finally, before confirming the appointment, the customer is shown a summary of the appointment information. The data displayed are:
Name and location of the garage
Vehicle brand, model, plate number and kilometers
Number of services indicated and the name of each service
Date and time of the appointment
Name, email and telephone number of the customer
