On this help page you will find documentation on the Management of spare parts orders from Supplier.

Create an order to supplier

When a customer order requests references that do not have sufficient stock available or that do not have stock at all, these references and their quantities are recorded in the Supplier Order Bag. In this bag, you can also add new lines of references to request from the supplier.

The Supplier Order Bag It is located on the following route: [Spare Parts Module -> Purchases Tab -> Orders Section -> Bag Option]

The Bag opens, by default, in the quick bag, but we can change to the slow bag with the option change bag located in the left menu.

Only those references that do not have the check in the column marked will be requested through the exchange. Don't Ask. This check can be marked/unchecked through the context menu of the reference line, which we can open by clicking with the right mouse button on the line and selecting the option Ask / Don't Ask.

We must keep in mind that if a line is marked as Don't ask It is the user who is in charge of unchecking it when they want to request it from the supplier.

The Bag It also has an option to add lines to it, to do this we select the option from the left menu and the window will appear Bag where we must fill in the following fields:

  • Headboard:
  • Store
  • Supplier
  • Type of order
  • Detail lines:
  • Reference code
  • Amount

Another option is to import a file with references that are added to the bag.

When we want to request references from the supplier we must select the option Ask from the left menu and all possible orders will be generated from the different suppliers.

The window will appear Supplier Orders Generated Now the user responsible for spare parts must:

  • Open each order to supplier
  • Check that everything is correct
  • If everything is correct, you must confirm the order and it will be in status Sent

These orders can be consulted in the Tracking orders to supplier located on the following route: [Spare Parts Module -> Purchasing Tab -> Orders Section -> Supplier Option]

Manage orders to local suppliers

🔹 Introduction

Customer orders that are to be sent to local suppliers must be handled manually, as there is no interface for automatic delivery.

This section explains step by step how to handle these supplier orders.

🔹 process

Every day the following process must be carried out:

  • Open the supplier order follow-up, located in the path: [Parts Module -> Purchases Tab -> Orders Section -> Supplier Option]
  • Filter by order status, selecting Initial and clicking on Search
  • Right-click on the supplier order and select the option Search order from the context menu
  • Check purchase order (detail lines, supplier, dealer, amounts, etc.)
  • If everything is correct, click on the Confirm button (green check)
  • Export the order to an Excel file using the Export button in the supplier order
  • Open the Excel file and check the Dealer code, located in the column K
  • Parts, amounts, etc. should also be checked
  • Delete columns from the Excel file that are not considered necessary (this step is optional)
  • Send the Excel file by e-mail to the local supplier

From here, the importer only has to wait for the purchase invoice to arrive from the local supplier.
