Ordering - Versions 2025
Ordering 25.01.09
New functionalities
Vehicle synchronization with the manufacturer in the new APP
We now have the option in the vehicle's record to update the order status according to the manufacturer's information. Evidently, this will only be possible if the brand has such an interface with the manufacturer.
To perform this action, in the taskbar associated with the record, to the right of where the order number appears, a new button will appear for us to communicate with the manufacturer and update the information.
As a result, the vehicle's record will be updated with the information received from the manufacturer. In case of any error or if the order does not allow synchronization due to its status (for example), we will see a message to that effect at the bottom of the record.
📊 Canary Islands Market
Ordering Integration (legacy and new versions)We are going to integrate the 2 applications (legacy and new) into a "single application". Therefore, we will open everything from the new system and integrate into the new application those forms that have not been migrated and are used in legacy mode.
This implies that from now on we will always have the menu of the new application and that the functionality will open on the right, either in the new version or in the old version, depending on the migration status we have.
Resolved errors or issues
- We have resolved an issue with the system opening when, after opening the application, we call the order management, as the first time we used that function it took us to the control panel.
Ordering 25.01.23
New functionalities
1. Delivery points to dealerships (DDPs)In previous versions such as 24.05.30 or 24.06.13, we mentioned the possibility of defining delivery points for the dealership to inform the Importer where they expected/wished the vehicle to be delivered.
In this version, we have added this information as part of the search results, so that if you are using this functionality, you can see that delivery point.
Additionally, we include this information in the CSV export from active order searches.
2. Ability to edit the dispatch type in the vehicle detailsNow, from the vehicle's record, in the sales section, we will be able to change the required dispatch type for the vehicle. This functionality should only be available if the market requires it.
3. Delivery of the vehicle to the end customer from the new APPWe can now indicate in the new vehicle record that said vehicle has been delivered to the end customer. This operation is necessary to deregister the vehicle as a new vehicle (VN) and for it to no longer be active in “Ordering”, although we can always consult it in the history.
🚩 Portugal Market
TOYOTA: Estimated arrival calculations. We enable that, based on the information received in the MPC, VLT, SHP files, the estimated arrival date at the importer and the dealership for vehicles can be completed. For these calculations, we have structures that, depending on the factory where the vehicles are produced, provide us with these time estimates.
Resolved errors or issues
- We have resolved an issue with catalog loading from SIMA. In the process, we detected that much more color/interior information was being migrated than was actually defined as available, so even though it couldn't be offered, we were loading much more data than actually necessary. This reduces loading times and makes the system more fluid.
- Interface with the VW group: We resolve an issue when the manufacturer informs us about a vehicle being archived in their systems but not registered in Ordering. In these cases, the order is also moved to the history.
- ZOHO interface: In the stock method, we were not returning the vehicle's equipment. (SUP-150976)
Ordering 25.02.06
New functionalities
1. Enhancements to the new APP
- Request invoicing from the vehicle's detail page: we can now perform this action from the taskbar of the vehicle's detail page.
- Note: Please be aware that not all brands or markets have this functionality. If you deem it appropriate, do not hesitate to contact us for information about it.
- New columns in the active order search result: We have added the seller, license plate, and license plate date columns.
- Do you need to change the fields you see in your search? Now you can! Customize your view by showing or hiding fields, and the next time you search, your preferences will be saved. You can even have different configurations for your active, history, and report searches. (Video) .
- We added usability improvements by making action icons provide information about their use through text that appears when hovering over the button (Tooltip text)
- Additionally, in different sections, we have reduced the number of icons by grouping actions that free up screen space and provide greater control over actions.
2. Calculation of estimated arrival when creating an order
- If we have information on which factory the models are produced in and we have average arrival times to the Importer and the dealership. Then, when creating the order, we calculate these dates and save them as the estimated arrival to the Importer and the dealership.
- When sending the order in Ordering to the Importer, this date is updated. This way, if an order was created on 01/02 but not sent to the manufacturer until 28/02, the system calculates the new date to provide a value closer to the actual one.
3. Dealer Delivery Points (DDPs)
- We can now define a DDP to be for the exclusive use of one or a set of dealers. This way, we could manage that a dealer only has access to the general DDPs offered by the Importer and their own.
Note: Remember that this functionality is not active for all markets, so the Importer must contact us if they wish to activate this functionality for the market.
4. Importer showroom vehicle management – Arrival at the dealershipIf you are managing showroom vehicles from the Importer. From now on, we will be able to see a new filter in the arrivals management to view those vehicles assigned to me as showroom but which I have not yet indicated have arrived.
In future versions, we will be able to set the arrival, and then the vehicle will start counting the days it has been a showroom vehicle from that arrival confirmation.
Resolved errors or issues
- A problem associated with order updates has been resolved, which caused orders for markets like Wallis to be deleted and recreated with information received from the factory, instead of being updated as expected. (SUP-150148)
Ordering 25.02.20
New functionalities
1. Evolutions of the new APP
- We can now delete or request the deletion of an order from the record. To do this, in the record, from the actions section located in the upper right part, we will have the action “Delete order”. This button will only appear when the order allows such action.
2. Showroom ManagementFrom now on, when the Importer assigns a vehicle as a showroom vehicle to a dealer, the dealer will have to confirm the vehicle's arrival at their dealership. This will also adjust the calculation of days the vehicle has been a showroom vehicle, as it will be calculated based on this arrival date.
To do this, in arrival management, there is a new filter where we can see those vehicles assigned as showroom and for which we have not yet confirmed the arrival.
Resolved errors or issues
- We have improved the response code when we receive a proposal from the CRM/Zoho interface that provides an undefined user in Ordering.
- We resolve an issue with the display of tire labels in the new App.
- We resolve an issue with managing order submission to the manufacturer to prevent 2 users from simultaneously trying to send the same order to the manufacturer.
Ordering 25.03.06
New functionalities
1. Evolutions of the new APP
- Dealer Delivery Point: If delivery points are defined, we can specify from the transport section at which point we want the vehicle to be delivered.
Note: To set this delivery point, the vehicle must have a status prior to arrival at the Importer so that the Importer can manage the delivery in a timely manner.
2. Showroom Management
- Control of maximum days as showroom: It is now possible to define the maximum period of days a vehicle can be in a showroom. Additionally, we display a notification when we are close to reaching that showroom end date so that the dealer or importer can take actions associated with the end of that period.
How does it work? The Importer can define, per dealer and model, how many days a vehicle can be a showroom vehicle. We also define a general parameter per brand so that a notification is shown to the user X days before the showroom period ends.
The notification for vehicles nearing the end of their showroom period is displayed on the dashboard in the urgent notifications section when there are vehicles in that situation.
If the vehicle is within those X days until the showroom period ends, then along with the information on how many days it has been a showroom vehicle, it also shows how many days are left until the end of that period.
Errors or problems resolved
- We have improved the response code when we receive a proposal from the CRM/Zoho interface that provides a user not defined in Ordering.
- We resolve a problem with the display of tire labels in the new App.
- We resolve a problem with managing the sending of orders to the manufacturer to prevent 2 users from simultaneously trying to send the same order to the manufacturer.
- Wallis - We resolved an issue in order linking when there is no order to associate. In some cases, the system offered the option, if an identical order did not exist, to link it with another order from the same model group, same equipment, same color, and same interior, even if the model was not exactly the same.
Ordering 25.03.20
New functionalities
1. Evolutions of the new APP
- Order report: Within the menu, in the reports section, we have an order search engine that looks for vehicles both active and in the historical record. This functionality does not have mass operations but is a management tool that allows launching queries to obtain general information for a given period, etc. Although some filters may still be missing, we have brought this functionality to VUE, including aspects such as opening the record.
- Edit order configuration: we will be able to access and modify a vehicle's configuration (color, interior, equipment) within the record. To do this, from the action bar in the upper right part, this action will appear active if the order status allows its configuration to be adjusted.
- Cancel transfer request: We can now cancel a previously made transfer request from the vehicle's details page. This action will appear in the Transfers/Assignments tab, which will show up when we have requests for a network vehicle (or for our own vehicle if transfer requests have been made to us). On the line that appears, if it is a transfer request we have made, the option to delete or cancel said transfer request will appear on the right side of that line.
2. Showroom management
- We have added the ability to request and cancel a showroom request for an Importer's vehicle to the new vehicle details page.
- From the vehicle's details page, as an Importer, we will be able to cancel all showroom requests that may exist. Even if we are not going to assign the vehicle as a showroom for a given dealership, we can cancel the requests because we are going to perform some other action. This action will be available as another option in the action bar located in the upper right part of the vehicle's details page.
- Note: Remember that this action is only available to the Importer.
- If we have defined maximum stay periods in a showroom, then the dealer may request the Importer for the vehicle to remain longer as a showroom vehicle at the dealership. The system already provides notifications when we are close to the maximum period (see Ordering 25.03.06 for more information). Now, from the vehicle's record, the dealer holding the vehicle will be able to request this extension from the action management section.
- Additionally, from the showroom module, we will have information on which vehicles have an extension request submitted, and both the Importer and the dealer will be able to view this information in the showroom management section to facilitate the extension processing.
3. Invoice information for the dealer
- We have improved the delivery of invoice information both for viewing in Ordering and for other systems, such as GSC's Zoho, to view their own invoices. Until now, when invoices were requested for a dealership, the system used the dealership to identify the third party and returned the invoices for that vehicle for that third party. However, this overlooked cases where multiple dealerships corresponded to the same third party but different sections were billed. Now, we take that section into account so that the dealership only sees invoices issued to its specific section.
- Note: Although this functionality can be seen in Ordering, it also affects interfaces such as Zoho (GSC) and any other market where several dealerships in Ordering refer to the same SIMA-Suite third party but with different billing sections.
🚩 Hungary Market1. Km0 vehicle management (Ordering - Zoho)We define a new operation to be able to operate with “new” but already registered vehicles that are known as Km0 in some markets.
To do this, we can indicate (under internal configuration) if any type of sale should be managed through this Km0 management.
General description of Km0 useThe general management of this module's operation is as follows:
- We will be able to assign a vehicle with a sales type that is categorized as Km0 type.
- Upon receiving the registration of that vehicle, it will be marked as truly activated as Km0. Removing the customer (who would have been necessary to have the registration data).
- Additionally, if the market manages proposals and there is a proposal linked to that vehicle that has launched the process of converting the vehicle into Km0, then we will mark the proposal as finalized.
- That vehicle, once marked as Km0, can only be seen by the owning dealership and other dealerships that are defined as belonging to the same company (centers). This is done based on the different dealerships having the same Taxid defined in Ordering.
- We will be able to assign a customer at any time and sell it as if it were a VN, but the system will have stored that it was a Km0.
- It can be managed whether the vehicle needs to be communicated to the manufacturer as delivered (currently for Renault only)
Important Note: This is a general description; we will soon have a new help page where we will reflect all the details considered.
What we have done in this release:
- We defined how to use a certain type of sale as Km0
- Upon receiving the license plate, if the vehicle is identified as Km0:
- We remove the customer
- We put the vehicle in the dealership's stock
- We activate the vehicle as visible (although later only some dealerships will be able to see it)
- For some brands like Renault, we mark the vehicle as needing to be communicated to the manufacturer as if it were already delivered.
- We do not show Km0 vehicles from another dealership in the network search, unless they belong to the same company (by tax identification).
- The Importer will always be able to see all of them.
- And even if they are not visible, we will also not allow another dealership that is not from the same company to make a transfer request.
- We also do not show in the proposal management those vehicles that are Km0 from another dealership, unless it is from the same company as in previous cases.
- We have incorporated into the method that returns available vehicles the information of
- Sale type
- Dealer Delivery Point
- Order/vehicle status
- Dealership
- File generation to the manufacturer regarding deliveries (CAR.L3P): this file is created from Ordering to communicate delivered vehicles. Now, in addition to delivered vehicles, we will also generate Km0 vehicles. These Km0 vehicles will be communicated upon receipt of the license plate and will also be registered so that when they are finally sold to the end customer, they are not communicated again.
2. Tokens to use the OKTA systemWe have reduced the number of tokens required to use the Renault order update interface. To do this, we have defined a 55-minute cache and also a control so that if for any reason the call fails due to a token error, we will obtain a new token.
Resolved errors or issues
- We resolved an issue with CSV export of search results in the new App. The system was not properly launching the translation when using the system in English.
- We resolved an issue when trying to apply a version change to an order in Ordering due to the model year definition.
- Hungary: We resolved an issue with order management from satellite dealerships (R1 & R2).
- We resolved an issue with the interface with Zoho (GSC/Wallis). Previously, when a delivery communication was sent for an unidentified vehicle (because it didn't exist, was at another dealership, or was already delivered), we returned an "Internal error" instead of an error that the interface could recognize. Now we will return a known error case and a "Vehicle not found" message. - (SUP-108428).
- Tire labels: in some cases, the tire label was not displayed.
Ordering 25.04.03
New functionalities
### Showroom management
- From the new vehicle details page, as an importer, you can assign a vehicle as a showroom vehicle to a dealership.
- Within showroom vehicle management, in addition to requesting a showroom duration extension, you can now filter vehicles that have a pending extension request.
- The system displays the list of showroom vehicles in table mode to improve data visualization and allow small filters in the lists, while maintaining quick searches using filter chips in the upper section.
Ordering 25.04.17
New functionalities
1. Menu Reduction
- We have decided to start streamlining the Ordering menu a bit. Currently, we have options that are already offered on the system dashboard via notifications. Furthermore, these options do not always present data or even have no application in some markets. So, we have removed them from the Ordering menu. This will allow us to have a simpler system. In this case, we have removed the following options:
- Sent Assignments and Received Assignments → There are 2 different alerts on the dashboard when we have sent or received assignments pending processing
- Orders with error and Orders with Warning → There are also 2 notifications on the dashboard when these cases occur.
2. Showroom management
- We allow canceling a vehicle defined as a showroom vehicle before the dealership confirms its arrival at the dealership. This provides a recovery option in case of an assignment error.
Resolved errors or issues
- We have made several general improvements related to translations and errors in the flow, such as:
- Searches:
- Add the status “Complete write-off” to the advanced search filters
- Vehicle details:
- Do not show the option to edit client if the order does not have a client assigned.
Ordering 25.05.02
New functionalities
1. Evolutions of the new App
- We have brought the Importer's pending assignments report to the new platform; this functionality can be found in the menu within the Importer's actions. Additionally, with the appropriate configuration, we allow the Importer to accept or reject any pending request.
- Additionally, we complete the transport information in the vehicle's data sheet: for this, we include in the transport tab the information we have regarding transport from the manufacturer to the importer, to be able to know data about said movement.
2. Factory definition by version If the product catalog allows it, we can have the factory where the vehicle is produced in the version (Model + Extended equipment). In such a case, when placing an order in Ordering, according to the configured vehicle version, we will be able to assign the factory where it will be produced.
Note 1: If this configuration is not available, the factory could come in the manufacturer's file.
Note 2: If your market does not have this possibility activated but the definition of being able to know the factory according to the version applies, do not hesitate to contact us.
DAG Market (Canary Islands)
- We include the possibility of obtaining Ducati images within the image service we have in the system.
Resolved errors or issues
- We resolved an issue in editing the sale and registration date in the new App. In some cases, the system gave an error in managing the date format.
- We resolved an issue with the display of date fields when the language is English. In different sections, when set to English, the system was showing the date format in American English (mm/dd/yyyy) when our current English configuration is British English.
- NADIN Delivery to Dealer: We have resolved a communication issue for VW group brands. The manufacturer's system (Nadin) may allow assigning an arrival date to the dealer without having set the shipping date from the Importer to the dealer. We have enabled the same management so that in certain cases the system does not give an error.
- Luxembourg Market:
- The system did not allow modifying the tax identification of a third party when they have delivered vehicles. This is valid except in cases where the client did not have a defined tax identification, in which case it should be possible.
Ordering 25.05.15
New functionalities
1. Showroom end-of-term management
- Use case overview: We will be able to manage the maximum period a vehicle can be a showroom vehicle. When this period expires, if the vehicle has not been sold or the dealership has not requested its return, then the vehicle will become part of the dealership's stock. This will imply an automatic transfer to the dealership, generating a billing order in SIMA, etc.
- Upon expiration of the maximum showroom period, we will finalize the vehicle as a showroom vehicle, and this will trigger a business event indicating said situation so that both Ordering and other systems like SIMA can proceed.
- Following said showroom end event without return to the Importer, the vehicle will be automatically transferred from the Importer to the dealership that had the vehicle as a showroom.
2. Zoho's GetOrders returns transferred vehicles
- In Zoho's GetOrders method, you can obtain the vehicles for each dealership. The problem is that when a vehicle is transferred from one dealership to another, the dealership that transfers the vehicle loses that action as it stops receiving information about the vehicle. We have added the ability to return already transferred vehicles to the method so they can be identified.
- NOTE: Markets that already use this interface must request to activate this functionality.
3. Version change in Toyota
- We are making a change in how we can modify vehicle versions for Toyota or Lexus. In these cases, we can only make the change if the set of vehicles have the same ManufacturerModelCode and ManufacturerModelSufix. Additionally, we can only select vehicles that have the same ManufacturerModelCode and ManufacturerModelSufix as we cannot change the vehicle's coding for the factory.
- Furthermore, the version options offered must meet the following:
- Share ManufacturerModelCode and ManufacturerModelSufix
- have PDITransformation=1
4. Display of assignment requests including minute and second
- In the new vehicle tab, under assignment management, we will be able to see the minute and second at which the assignment was requested. This will allow verifying that the information is complete and will even help the vehicle owner determine the order of assignments to follow.
Resolved errors or issues
- We resolved an issue with date sorting in the new app. We can now correctly sort by date fields.
Ordering 25.05.29
New features
1. Showroom Management
- The dealer who has an Importer's showroom vehicle will be able to indicate that they want to return that vehicle to the Importer before the showroom period ends. This will prevent the vehicle from remaining assigned to the dealer at the end of the showroom period. To use this functionality, from the vehicle's details page, when we have a showroom vehicle assigned to our dealership and are within n days prior to its end, an option will appear to return the vehicle to the Importer. This will immediately finalize the vehicle as a showroom.
- Proposal management with a showroom vehicle: if managing proposals in Ordering, we can link a proposal with a showroom vehicle (whether it's our own or one assigned to another dealer). This will automatically perform the following actions:
- Showroom finalization with indication of sale to end customer.
- If it is a showroom from another dealer, it will be indicated upon finalization that it is due to assignment to another dealer.
- Automatic assignment from the Importer to the corresponding Dealership.
- Vehicle assignment to the proposal: this is customer assignment to the vehicle.
- If there is a consignee model, this information will be processed in SIMA by issuing a credit note to the consignee.
- Additionally, we will also set up a billing order in SIMA so that the Importer knows they have to sell the vehicle to the dealership. This will only happen if the vehicle is in the Importer's stock in SIMA, which should always be the case in situations like showroom management.
- If there is also a consignee, we will create the order for the consignee instead of the dealership.
2. Proposal management with the delivery point to the dealership
- When managing a network order from the proposal, the system will ask for the delivery point (DDP) of that vehicle so that the importer knows where to deliver it. This will only happen in cases where the vehicle has an 'arrived at importer' status or earlier.
Resolved errors or issues
- We resolved an issue with date sorting in the new app. We can now correctly sort by date fields.
- When clicking the export button, a download icon is displayed so that the user can identify that the operation is in progress.
- When performing the download, the system can download up to 10,000 orders and not just the 500 displayed.
- In the historical search, dealer and status filtering is displayed.
- A problem with the CSV format that allows its management in Excel is resolved.
Ordering 25.06.12
New functionalities
1. Vehicle Availability on the Importer's SideUpon a vehicle arriving at the Importer, we can begin to establish some rules as to whether the vehicle is available for the network or not. By default, the vehicle will be available once it arrives at the Importer, except for those brands and markets that have requested the vehicle to be unavailable. There are several reasons for unavailability that we will gradually explore. Currently, when the Importer decides, upon a vehicle arriving at the importer, it could be set as NOT available for a temporary reason. This is used in some markets to inform that even if the vehicle has arrived at the Importer, it is undergoing country-specific procedures and processes that make the vehicle not truly available for shipment to the dealership.
What I cannot do if the vehicle is not available
- Confirm a transfer request from the Importer to any dealership. The system will allow transfer requests to be made, but a request cannot be accepted (though it can be rejected) if the vehicle is not available.
- Assign as a showroom vehicle for a dealership. Due to import procedures, etc., we will not be able to manage its shipment to dealerships. Therefore, this action will not be available in such cases.
How can I view this information
- In the order search: where we will have a new column “Importer Availability” that will give us this information.
- From the vehicle's details page, just below the vehicle's “image”, we will have a new field which is Importer Available. Here, in addition to indicating whether it is available or not, if it is not available, we will indicate the reason for unavailability.
And how to change those values
This option to change the Importer's availability will only be available to the Importer. To do this, from the vehicle's details page, you can change this value from the actions available for the vehicle. The system will not allow assigning this value if the vehicle has not arrived at the Importer.
When indicating that a vehicle changes to “Not available” status, you must select one of the following reasons:
- Temporary Unavailability
- Transformation
- Repair
- PDI
- Administrative processes
2. Pending workshop campaignsIf the Importer's service provides it, we will be able to know if a vehicle has pending campaigns to be carried out. This will help us organize the possible delivery of the vehicle or manage its deadlines.
Pending campaigns: When a vehicle has pending campaigns, we will be able to see this information on the vehicle's data sheet in a new tab for this purpose. This information will only be attempted to be obtained if the Importer's campaign service is configured for it and if the vehicle also has a status >= “Arrived at Importer”
Unable to request registration with pending campaigns: We add this specific control for the market. To allow it, campaigns will have to be marked as completed (on the Importer's side) or authorization requested to perform the action despite having pending campaigns.
Unable to deliver a vehicle with pending campaigns: More generically for all markets, we could decide that if we have this campaign management, it does not allow the delivery of the vehicle until they are completed or authorization is requested from the Importer for it.
Request authorization: We will be able to request authorization from the importer to perform some actions such as registration request or delivery. We will also see the status of the request so that when the Importer responds, we will see its situation.
Resolved errors or issues
- We improved usability in dealer filters for both active order search and historical search by incorporating the dealer identification code into the dealers.
Ordering 25.06.26
New functionalities
1. Order submission in the new App
- If the new application is available, you will see that order submission now has the new appearance.
- We maintain the usual functionalities:
- Submission
- Lock/unlock
- Order verification against factory (if an active interface exists for this functionality)
- But we will also be able to
- Sort the displayed columns
- Apply filters in columns to find pending orders with certain conditions
- Hide any column that is not necessary for our market
2. Toyota
- Search for reported sales: In this case, we can search for vehicles that we have reported as sales to the manufacturer within a given period. This functionality is only available to the brand's Importer within the Importer's actions, where we will have a Reported Sales entry and a filter to select the range to filter.
- Bulk version change: In this case, by having local model codes vs. manufacturer model codes, we allow the version change performed by the importer to select a different local model code, provided it is associated with the same manufacturer model code.
- Ability to request desired delivery date: When creating an order, based on average delivery times, we can determine the minimum delivery date, and the user can select the desired delivery date.
Resolved errors or issues
- Dealer delivery point in the order summary: We added the dealer delivery point to the order creation summary, if it was available.
Ordering 25.07.10
New functionalities
1. Importer bulk tasks
- Bulk visibility change. This action can be performed by the Importer on any vehicle in the network. This makes the change process much faster, reducing.
2. New App Developments
- We now have the management of received assignment requests, accessible from the urgent tasks on the dashboard. This new functionality allows us to filter, sort, and export to CSV the records currently displayed on screen (including only those for which we have applied a filter).
- We also have the list of orders with modifications made by the manufacturer, which is also displayed in the urgent tasks on the dashboard. Again, similar to the previous point, we have more flexibility compared to the legacy system version, as we can filter, sort, and export to CSV the records currently displayed on screen (including only those for which we have applied a filter).
3. Showroom Management
- Notification on the Importer's dashboard for showroom vehicles that have requested an extension: We simplify and save time for the Importer in identifying showroom vehicles that are nearing their end date and have requested an extension. To achieve this, we've added a new notification to the importer's dashboard for pending showroom extension requests.
- Order of showroom requests: If the same vehicle has been requested as a showroom by multiple dealerships, we didn't know who requested it first. In this case, when assigning a vehicle to a showroom, the Importer will see the dealerships that have requested it in the order they made their request, showing the one who requested it first.
4. GSC - Toyota
- Vehicle arrival notification at the dealership according to the carrier: If we receive confirmation from the carrier that the vehicle has been delivered, we save this information in the system and also display a notification to the dealership so they can confirm the arrival.
- Production Balance Report: We offer a report to the importer so they can compare the information between what the factory has planned for a month and what was actually produced during that month. Basically, we will show information by model group, the planned value for the month, and how many vehicles of that model group have been produced. We facilitate interpretation with a difference that allows us to quickly identify the negative or positive values for the month.
- Rules for assigning vehicles to order proposals: For brands within the Toyota group, in almost all cases, we offer a single order that can be assigned to proposals according to the following rules and their order:
- Offer the oldest available (no customer), unreserved dealership vehicle
- If there are no dealership vehicles, offer the showroom vehicle assigned to that dealership (the oldest one).
- If the sales type (of the proposal) is DEMO, do not show showroom vehicles either (see another criterion below)
- If there are no own vehicles or showrooms for that dealership, offer the importer's vehicle that is in stock, showing the oldest one available (Arrival Importer)
- If there are no previous vehicles, show showroom vehicles from other dealerships, provided that
- only the oldest from each dealership is shown (showroom start)
- If there are no vehicles, show 1 from the Importer based on the earliest estimated arrival (planned arrival at importer)
- Only offer to create an order if no available vehicle has resulted from all the above.
- Limit sales per dealership per year: We can define a parameterization to specify, by model group, model, or model and version, how many vehicles a dealership can sell in a year. With this data, we limit customer assignment in such cases:
- When assigning a proposal to an existing order, if the limit has been reached, do not allow a vehicle to be assigned.
- If it is a configuration (Create Order), if, based on the estimated arrival at the dealership, it is within this year and the limit has been reached, do not allow it to be created either.
Resolved errors or issues
- The data for how many days a vehicle has left as a showroom vehicle is incorrect. By mistake, we were getting the information on how many days were left from the term definition. We have made this adjustment to use the vehicle's real data, so that if the term changes, it will only affect new vehicles, but existing ones will maintain the validity they had when they were created as demos.
- GSC - Toyota: We resolve an issue associated with receiving in the proposal whether the vehicle needs special clearance
Ordering 25.07.24
New features
1. VW - VILMA InterfaceIf the market enables it, we can use the VW system to obtain images by VIN or commission number. This complements the information we can provide in Ordering with the vehicles.
Note: Each market must contact the manufacturer to manage its use, obtain the connection information so that we can then configure it in the system. Currently, we have completed the integration for testing and are configuring it for the DAG in the Canary Islands.
2. New App developments
- We now have the management of re-sent assignment requests, which we access from different notifications on the dashboard. Here we can filter by different columns, cancel pending sent requests, or mark accepted or rejected ones as reviewed.
- Sent requests
- Accepted requests
- Rejected requests
- We have incorporated the dealer code into vehicle searches and the vehicle details page. Until now, only the name appeared, but this can facilitate dealer identification for some markets.
Resolved errors or issues
- We fixed an issue where proposals were not correctly receiving information on whether the vehicle requires special dispatch or not.
- We fixed an issue in the configurator. On certain occasions, when selecting a model/version, the system would remove it, leaving the selection empty without an error message. Now, we will indicate the reason for this "removal" so that this circumstance can be managed from the product side.
- An issue with the management of proposals linked to a showroom vehicle from another dealership has also been resolved, requesting the DDP if necessary.
Ordering 25.08.07
New functionalities
1. Request for transfer of a showroom vehicle from another dealership + Delivery point:
- In this case, when requesting a showroom vehicle owned by another dealership, if the market defines delivery points, the system will request the delivery point where the vehicle should be sent. This way, we facilitate the transportation management of said vehicle to the new dealership.
2. Evolutions of the new App
- The Importer can perform a massive synchronization of network orders. When the interface with the manufacturer allows synchronizing orders, we enable a new mass task so that the Importer can launch this synchronization.
- The Importer can perform a mass deletion of orders (including network orders). When performing an order search, we already have the option to delete orders within the operations list, also for network vehicles.
- Modification of a delivered vehicle's registration plate. If the dealership has permission to assign a registration plate to a vehicle, they will also be able to modify it once the delivery has been made. This allows modifying this data without needing to recover the vehicle to active status.
- We have the rejected assignments report, allowing filters to be applied by the different columns, which gives greater usability to the report.
Hungary Market - Renault
- We import CO2 information and estimated arrival times from DHS.
- We export CO2 information to CSV in the order history report.
Resolved errors or issues
- Password change: We have resolved an issue associated with password change that can be used in certain markets where we do not have the centralized user system in SIMA-Suite.
Ordering 25.08.21
New functionalities
1. Order deletion from the ImporterThe Importer will be able to manage the deletion of orders from any dealership, although in this case, these will be orders that do NOT have a customer assigned. The order will remain in a pending deleted status, unless there is communication with the manufacturer where, in addition to remaining in that status, it may be subject to the manufacturer's response, potentially moving almost automatically to a deleted status.
2. Evolutions of the new App
- Management of orders in error. We have these follow-ups which can be accessed from the urgent tasks panel. This entry will only be shown for those brands where the manufacturer provides us with information on orders that cannot be produced due to some error in them.
- Order management on notice. We have these follow-ups, which can be accessed from the important tasks panel. This entry will only be shown for brands where the manufacturer provides us with information on orders that have some impact on production, even if they could still be produced.
Resolved errors or issues
- We resolved an issue with the connection from the Cognos API due to a database connection problem for some companies
Ordering 25.09.04
New functionalities
1. Evolutions of the new App
- We added the ability to filter by the vehicle visibility column to the search results. This was something we could previously adjust by order, but now we complete it to facilitate its use.
- We moved the tracking of orders without factory updates to the new window. Now we can filter more easily. Select output columns (within those defined in the report), sort, etc. . This tracking is shown to the Importer as an important task “Orders without factory update“
- We also have the tracking of invoicing requests in the new tool. This functionality is based on the dealer requesting the invoicing of a vehicle, and the Importer can view this request and manage it in their IMS, also being able to mark the request as accepted or rejected as appropriate. This tracking is shown to the Importer as an urgent task “Pending invoicing requests“
- We have enabled that for a delivered vehicle, we can return it to active status (this implies removing the delivery date). This functionality can be found in the vehicle's record under available actions as “Recover vehicle”.
- We have improved the advanced search in the dealer selection section. Now, when there are many dealers in the network, it is easier to select a specific dealer using the small search bar we have incorporated, allowing filtering by dealer code or name.
- Note: Remember that each dealer has the possibility to create dealer groups that allow them to search for vehicles within a batch of dealers. This is especially useful, for example, for having dealers from the same corporate group, by proximity, affinity, etc.
2. Showroom management from proposals
- We added a control to prevent assigning a showroom to a proposal if sales limits by model and dealer have been configured. This avoids the process of finalizing a showroom only for it to be unable to be assigned to a proposal later due to having reached the sales limit. This management is performed automatically from the proposal management, and when attempting to assign a showroom to a proposal, the system will perform the check and display a message to that effect.
GSC - Toyota
- We have enabled the display of network delivery points. To do this, we need to activate this functionality, otherwise, it will only show those of the dealer itself.
Resolved errors or issues
- Volkswagen Group: We resolved a synchronization issue with the manufacturer for orders in “Saved in importer” status in the Nadin tool but not sent to the factory. In these cases, when an order is synchronized, it is done against Nadin but without consulting the factory to prevent the order from changing to “Not found” status.
- The system gave an error in the validation of complete delivery data when the customer's gender was set to a value other than Male/Female.
Ordering 25.09.18
New functionalities
1. Proposal management, automatic assignment of vehicles belonging to the Importer
- We defined a new parameter so that, if necessary, when we select a vehicle from the Importer's stock from a proposal, it is automatically assigned to the proposal. This will mean that the system will automatically transfer and assign it to the proposal without the Importer needing to confirm the transfer. As indicated, this is a default configuration that will be deactivated in all markets except for Toyota in GSC.
2. GSC - Toyota
- We deliver Toyota vehicle images in Ordering based on the information received in the product catalog (bdproduto).
Resolved errors or issues
- We resolved an issue with the arrival confirmation to the Importer when it comes from SIMA and the date is in the future. In some markets, the system tried to automatically put the order into transport to the dealership, but there is a business rule that does not allow that date to be in the future. For now, we have deactivated this last action so that vehicles will not be automatically set to “Transport to dealership” in any case.
Ordering 25.10.02
New functionalities
1. Evolutions of the new App
- We have added the shipping date column from the Importer to the dealership to the arrivals management.
- Reserved vehicles from the dashboard. We have adapted this access to show reserved vehicles as they are used in SIMA Suite. This indicator shows the number of reserved vehicles that affect me, i.e., those vehicles from my dealership that have been reserved (even if reserved by another company) and also those that my dealership has reserved for other dealerships or for the Importer. Clicking on this indicator accesses a filtered search that shows these vehicles. If the market does not use this reservation module or does not have vehicles, the indicator will not be displayed.
- Dealership group management. We have dealership group maintenance in VUE, which we then use in search filters. This will allow us to create dealership groups where the dealerships closest to my dealership are located, or those from my same corporate group. This will facilitate vehicle searches according to different criteria I may have.
- Simplification in the display of transport data.
- We added the possibility to view, in the vehicle's details, under the transport section, the arrival date at the dealership as reported by the carrier. This date will be for information only, as the confirmation of arrival at the dealership will continue to be actively provided in the system.
- Additionally, we simplify this transport data view by not showing dates for which we have no value or significance.
2. GSC - Toyota
- We can see in the importer's production balance report the difference between the initially planned production (FSO2) and the confirmed production in the MPCs. Additionally, we can export it to CSV for later management.
- From the new vehicle details page, we allow the importer to enable a dealership to request registration without having received the vehicle's invoice. This allows bypassing the control in specific cases.
- This action can be found on the vehicle's details page, along with the other actions to be performed on a vehicle.
- To prevent any user (even an importer's user) from performing this action, a new permission has been defined in user management to control this action.
3. Allow registration request without invoicing from the Importer
- Prior explanation: There are markets where the dealer requests registration from the Importer, and the Importer manages it. In these cases, there are configurations to also prevent the dealer from requesting registration if the vehicle has not been invoiced to the dealer.
- From the new vehicle record, we allow the importer to enable a dealer to request registration without having received the vehicle invoice. This allows bypassing the control in specific cases.
- This action can be found in the vehicle record, along with the other actions to be performed on a vehicle.
- To prevent any user (even an importer's user) from performing this action, a new permission has been defined in user management to control this action.
4. Adjustment of pending delivery status, dependent on the customer. Until now, the vehicle would change to pending delivery status once it had a license plate or sale date (or requested license plate if the market managed this request with the importer). We have made an adjustment to also take into account whether the vehicle has an assigned customer. Thus, in cases where a vehicle is registered but does not have an assigned customer, the vehicle will remain in an appropriate status, usually dealer stock. Similarly, if a vehicle with a license plate has its customer removed because the customer was not going to buy the vehicle, it would also change from pending delivery to stock.
Resolved errors or issues
- The system did not allow assigning a sales type to a vehicle with a license plate if the system had the parameter active to not allow modifying the sales type after registration. This happened even if the vehicle initially had no sales type. A strange case but one that could occur in some markets.
- We resolve an issue in vehicle delivery where we were not showing the appropriate error message when the problem was missing data to complete the delivery. (SUP-168416, SUP-168554, SUP-168307, SUP-168573)
Ordering 25.10.16
New functionalities
1. Various improvements
- Showroom vehicles
- We have added a control so that the Importer cannot set a vehicle that is not visible as a showroom. Normally, vehicles available for showroom are vehicles that do not have a customer and are visible to the network. But in some cases, the Importer may want to change the visibility of these vehicles. In such cases, we will not allow it to be set as a showroom since the network would not have availability to view that vehicle.
- Extra information in active order searches
- We add the planned arrival date at the dealership to the order search
- We add the license plate request date to the active order search.
Note: As always, these are columns that we can hide if our market does not use them.
2. Evolutions of the new App
- We have migrated the list of accepted assignments to the new platform. We can access this list from the control panel, in the important tasks section, where an entry is shown with the accepted assignments that we have not marked as viewed.
2. GSC - Toyota
- Location input and output files.
- We apply a control for “internal” vehicle movements.
- For cases where a vehicle belongs to the importer, is not a showroom, and has no customer, if we receive an outgoing logistics movement (R05 file), we will not assign the shipping date to the dealership, nor will we change the vehicle's status.
- We do the same for R06 delivery communication cases, so that in the same cases as in the previous situation, we do not mark the vehicle as arrived at the dealership, nor with a dealership arrival date.
- Communication information with Minivom
- We receive communication information from Minivom. Error cases can be shown to the Importer, while in successful cases we can update the Minivom order number in the system.
- We added a report for the Importer so they can check incidents with the Minivom interface. Additionally, if there has been any incident in the last week, an urgent task will appear for the importer so they can review them. This report is accessible within the reports section as “Minivom Error Report”.
- When a customer is removed from a vehicle assigned to the Importer, Minivom is informed of this cancellation.
- When returning a vehicle from a dealership to the Importer, the sales cancellation in Minivom is enabled, also informing of the logistical situation so that the return information can be sent to the importer.
3. Some improvements with the management of proposed proposals
- We have defined a new permission to control which users access proposal management. This will allow us to restrict access to those who cannot operate with them. By default, we have assigned permissions to the different users so that they are not affected by their previous operations.
- Vehicles marked as unavailable by the Importer. Those vehicles that are at the Importer but are still unavailable will not be shown for association with proposals, as the system will not allow automatic transfer from the Importer to the dealership.
- If a user has access to proposal management but does not have permission to create orders, the system will allow them to create an order associated with a proposal, but said vehicle will remain blocked so that it can be validated before sending it to the Importer/manufacturer.
Resolved errors or issues
- We resolved an issue with linking vehicles to proposals. (SUP-168548, SUP-168621).
- We established a configuration to disable the reservation functionality that certain markets may not want to use.
- We have resolved an issue with the Toyota catalog import where it was not processing all existing color-interior relationships.
- We removed the Importer's unavailability information for cases where it does not add value to the market.
Ordering 25.10.30
New functionalities
1. Various improvements
- CSV export of active searches. We have added a couple of fields to the CSV export, in this case, Importer Availability and the order creation date in Ordering. These fields have been placed at the end of the CSV to avoid affecting other processes that may be associated with the handling of these files.
- In the proposal view of the new App, we have added information about the type of sale received in the proposal.
- Additionally, we added access control to proposals via permission, similar to how it was in the previous version.
- Filter-based bulk operations: We have improved the display and data handling in search results and subsequent operations. In Ordering searches, we can apply filters and select rows for bulk actions. The system offers a select all option for these actions. Previously, this option was independent of the applied filter. Now, selecting all will consider the filter, applying changes only to the filtered data that the user views. Example:
- Previous system: The search returns 100 vehicles, filtered by red color, and 7 vehicles are displayed. When selecting all and changing visibility, the system attempts to modify the visibility of all 100 vehicles.
- New system: The search returns 100 vehicles, filtered by red color, and 7 vehicles are displayed. When selecting all and changing visibility, the system modifies the visibility only of the 7 visible vehicles.
- We no longer display information regarding whether a vehicle is a showroom vehicle when the vehicle cannot be a showroom vehicle. For example, a vehicle that has already been transferred to the dealership will not show information related to showroom management.
2. Evolutions of the new App
- Vehicle recovery from history: We can now perform this recovery in VUE for a vehicle listed as delivered, applying the following controls.
- By default, only allow recovery if the delivery date is within the same current year-month. Although recovery could be allowed for any month.
- Allow the Importer to recover any vehicle, even outside the current month.
3. GSC - Toyota
- Control of the showroom limit for a model at a dealership. The Importer now has greater control over showroom management. The system will automatically notify you when a dealership exceeds the maximum allowed number of vehicles of a specific model in its showroom. Although you will still be able to make the assignment, you will receive an alert at the moment of the operation, informing you that the established limit has been exceeded. This way, you can make informed decisions and maintain more efficient control over showroom stock.
- Adjustment in matching rules for proposals. The system will jointly display the showrooms and the oldest importer vehicle available (either already arrived at the Importer or an order based on its estimated arrival at the Importer).
- We are making adjustments to order deletion so that dealerships can only delete orders in “Saved Ordering”, “Not found”, “Deleted” status, not allowing it in other cases.
Canary Islands Market
- We have enabled that in the centralized data “company” where we upload the catalog, the Importer can upload accessories that we will soon be able to download to dealerships.
Resolved errors or issues
- Toyota - We resolved an issue with the registration request for cases of integration with the Minerva consignee system.
- We resolved an issue with the display of assignment requests. In some cases where we can manage assignments even if the vehicle does not have a commission number (in other markets it may be known as URN or manufacturer's order number), the system reported the existence of such an assignment request but it was not shown in the list of pending assignments.
- We corrected an error in the active order search module when entering special characters in the result's column filters.
Ordering 25.11.13
New functionalities
1. Showroom return to ImporterWe have enabled that a vehicle defined as a showroom can be returned to the Importer at any time, starting from setting the showroom arrival without having to wait until x days before the showroom ends.
2. Evolutions of the new App
- Depending on the brand and the interfaces with the manufacturer, we allow the importer to delete an order that is in a pending deleted status. This functionality can only be performed by the importer.
- This functionality will be available both in mass operations after performing an active order search and from the vehicle's detail page.
- We now have customer data editing available in the new app. You can find it in the menu under Settings - Management - Customers.
- Export of the information displayed in the order search. We added a new CSV export method that consists of exporting only the visible data from the table. Additionally, it will export the columns in the same order as they are visible.
- If you change the position of a column in the search, that preference is now maintained for future searches. Until now, that 'order' was lost, but we now save this configuration, allowing you to adjust the view as you prefer.
- We are making a series of adjustments to menu management
- We are moving the Reports and Settings sections to the bottom of the menu
- In reports management, we will find aspects such as
- Reports
- Order search (active/historical) which will appear in the 'Orders' block
- In settings management, we will find the sections
- User management
- Customer management
- Dealer groups
- Importer actions such as importing orders.
3. GSC - Toyota
- Order exchange: The importer can perform an order exchange so that, for Minivom, they are linked to the correct association. The Importer can go to a vehicle's details and select the vehicle exchange option. This will show the user a list of vehicles on which they can perform the change. From there, they will have to select the second affected vehicle, and the system will perform the corresponding exchange.
- Note: this functionality can only be performed by the importer and for the brands and markets where said functionality is enabled (only Toyota and Lexus)
Resolved errors or issues
- We performed an order update to set vehicles that, despite having a license plate or sale date, do not have an assigned customer, to Stock status.
- We improved some processes that were not modifying the order update date, which prevented us from correctly identifying recently modified orders.
- We resolved an error that occurs when sending information from SIMA to Ordering due to the size of the city definition. (SUP-108260, SUP-11193)
- If a vehicle cannot be transferred due to its status, we provide a more descriptive message to help identify the situation. (SUP-169695)
- We improved the system's response to certain attempts to confirm arrival at the dealership that were not completed due to missing data, such as if the shipping date from the Importer is not available. Until now, it gave an error that did not allow identifying the detected situation.
Ordering 25.11.27
New functionalities
1. Enhancements to the new App
- We enabled a parameter to disable the showroom functionality for each brand/market. This way, we prevent some dealerships from partially managing this module.
- We improved proposal management for cases where a customer appears in more than one vehicle. In such a case, if one of the vehicles is in the invoicing process, we provide a specific message indicating that the customer's data cannot be updated because another vehicle associated with the same customer is in the invoicing process.
2. Vehicle version changes and their impact on vehicle equipment definition. When changing the version (ESMKEY) in Ordering, in addition to modifying its internal identifiers, the equipment is adjusted to separate existing vehicle equipment into version equipment and optional equipment according to the chosen version.
For brands like Hyundai and Toyota, this change implies removing current equipment and assigning new ones. The system now considers this particularity.
To do this, we defined a parameter per brand that indicates whether the system should operate as before or follow this new rule.
Resolved errors or issues
- When accepting an assignment from the Importer (even if automatic), cancel all existing showroom requests (Pending status), leaving said requests in “Rejected” status.
- We resolve an issue with the display of currency and document type in the document/invoice view that we have from Ordering.
- We resolve an issue with the session duration in Ordering, which in some cases did not identify that the user was still actively logged in and operating within the session. This way, we avoid an unnecessary re-login error.
- We resolve an issue with filtering the “Client” column in searches, as in some cases the filter did not work correctly.
- We resolve an issue where a user blocked in Ordering could still log in.
- Toyota
- We have made some improvements to the handling of errors received from Minivom and how they are displayed in the system, providing more information about the type of error and the actual communication date.
- We resolve an issue in the assignment of proposals for a vehicle that has been shown as a showroom vehicle, but it could happen that while the user performs their validations, the vehicle becomes unavailable.
Ordering 25.12.26
New functionalities
As an Importer, being able to assign your own vehicle to a dealership (New App)Now the Importer can assign their own vehicle to a dealership without needing to make a request and accept the transfer.
Conditions:
- Must be a vehicle without a customer
- Assigned to the Importer
How to perform the action from the search:
- Search for the desired vehicles. Only Importer's vehicles
- Select which vehicles you want to transfer
- From the action bar, select the “Assign to dealership” action
- Select which dealership to transfer the vehicles to.
- Select the delivery point to the dealership, if this option is available.
Note: It will not be active for VW group vehicles until we have addressed communication with Nadin for this purpose.
Resolved errors or issues
- We implemented a small improvement: after performing a search using a quick filter and returning to the dashboard, we remove that previous filter to facilitate the introduction of a new criterion.
- We resolved an issue with unavailable translations that were displayed as empty. Now the system will return it in English or, failing that, in the key defined in the translation system.
- Proposal management
- An issue related to the cancellation of proposals when they had multiple vehicles has been corrected.
- An issue related to how transfer requests are created from proposals has been resolved, so that transfer requests are created with a customer purpose. (SUP-173702)
- If there is showroom management with a consignee model (as is the case with Toyota in Portugal), then showroom vehicles are not displayed in proposals if they have not been invoiced to the consignee.
- We improved the usability of customer creation by showing that the tax ID is “mandatory” for customer creation. Until now, this field was not shown as mandatory, although it did not allow creating the customer without that value.
- Toyota:
- We resolved an issue in proposal assignment because if the client could not be updated due to that same client being in another vehicle that is in the invoicing process, the appropriate message was not displayed (SUP-172915) (SUP-173315)
- We resolved an issue in the export of all active orders. (SUP-173217)
- We improved the catalog management process so that catalog entries are transferred from SIMA to Ordering more quickly.
- We resolved a communication issue with financial management for cases where a vehicle is a showroom multiple times, but when returning the information to the module, it happens that we do not always send the information according to each case. (SUP-172473).
