1.1 Concess File

The Concess File is a file that is generated daily and contains the parts deliveries made to Dealers by suppliers.

This file is sent to the Dealers so that they can make the input picking of parts into their warehouses and thus start with the daily tasks, e.g. repairing vehicles in the workshops.

This file is generated on the basis of the purchase invoices received from the supplier and the process is divided into the following steps:

  • Import of purchase invoices received from supplier
  • Detection of new parts not existing in the parts master
  • Creation in the parts master of new parts
  • Creation and confirmation of sales invoices to Dealers on the basis of purchase invoices received
  • It should be noted that several sales invoices can be generated from one purchase invoice
  • Those sales invoices that include new parts will not be confirmed, they will remain in initial status until the user checks the part data (description, price, sales discount group, purchase discount group, transactional object, etc.)
  • Internal association between purchase invoices and sales invoices
  • Sending sales invoices to FusionR to obtain the FusionR invoice number
  • Generation of the Concess File, as many files are generated as sales invoices to Dealers have been issued, in these files the FusionR invoice number is included.
  • Sending the Concess Files to the corresponding Dealers
  • Generation of the automatic email informing the Importer that the files have been sent to the Dealers

All the above steps are fully automatic, so there is no user interaction.

Each of these steps is monitored to detect any errors that may occur. Some of the errors that are monitored are:

  • Purchase Invoices:
  • New non-existing part numbers in the part master
  • Conversion of orders with non-existing order lines into lines without orders
  • Conversion of non-existing orders into lines without orders
  • Sales Invoices:
  • Selling price at 0
  • Sales price lower than purchase price

From SIMA's point of view, the information that the user can view is the following:

  • Purchase invoices: located on the path [Parts Module -> Purchases Tab -> Invoices Section -> Supplier Option]
  • Sales invoices: located on the path [Parts Module -> Sales Tab -> Invoices Section -> Customer Option]
  • Invoicing events to FusionR: located on the path [Administration Module -> Administrative Tools Tab -> Administrative Tools Section -> Delivery historic Option]
  • Concess File report: located on the path [Parts Module -> Reports Tab -> Management Section -> Miscellaneous Reports Option -> Delivery Report Request]

The following rules apply to the information included in the Concess File:

  • Only confirmed sales invoices are included in Concess File. The notification email reports if there was any not confirmed sales invoice.
  • If a sales invoice is not confirmed automatically when importing invoice files from Renault, it will be included in the Concess File of the day after the manual confirmation.
  • If a sales invoice has FusionR document number, then that number is included in the Concess File.
  • If a sales invoice does not have FusionR document number because its sending to FusionR has failed, e.g. because one of the part included in the sales invoice does not have Taric, then the SIMA invoice number is included in the Concess File.
  • When the problem with the sales invoice not having FusionR document number is solved, e.g. the missing Taric is added to the part and the FusionR document number is obtained, then the sales invoice is re-included in the Concess File with the FusionR document number.
