Campaign management
Introduction
A Parts Discount Campaign will be a process in which a company defines, for a set of customers, a given set of discounts, each of which will respond to a criterion defined by the company. Such a Campaign is identified by a (unique) name and will have a start date and an end date.
Campaigns will not be multi-brand, i.e. it will only be possible to modify discounts for one brand at a time per Campaign.
Discount Campaigns will be Sales Campaigns when they are generated by a Supplier for its Customers and will be Purchase Campaigns when they reach the customer from a supplier. In the case of Purchase Campaigns, they will have identified which supplier they come from.
This campaign must be communicated to each of the customers who are affected by it and when the effective date of the campaign arrives, the SIMA price calculation system must take it into account in the following way:
- At the supplier:
- In each of the sales made to customers affected by any campaign in force, if the part sold falls within the criteria of the campaign, the discount defined by the campaign will be used.
- In the event that there is a Commercial Condition in force for that customer, it will cease to have effect until the end of the campaign.
- The two previous points will be fulfilled in any case in which it is necessary to calculate the sales price of a part (to evaluate budgets, sales orders, in the creation of customer invoices, etc).
- At the customer:
- In each of the purchases made from a supplier for which there is a Purchase Campaign in force, if the part that is purchased falls within any of the criteria of the campaign, the discount defined by the campaign will be used.
- In the event that there is a Commercial Condition in force for that supplier, it will cease to have effect until the end of the campaign.
- The above points will be fulfilled in any case in which it is necessary to calculate the purchase price of a part (to insert a part in the supplier order exchange, to generate a supplier order line, to calculate price differences in the entry of supplier invoices, to make supplier claims, etc.).
The criteria to be used in the definition of a campaign will be the following:
- Order Type: More than one order type can be defined for a criterion, but at least one will need to be defined.
- Group: There will be 3 types of groups:
- Discount Group: It will be Purchase or Sales, depending on whether the campaign is Purchase or Sales.
- Homogeneous Group: It will be applied in companies that are not Citroen type, it corresponds to the Homogeneous Group of the parts master.
- Marketing Group: To be applied to Citroen-type companies, it corresponds to the Marketing group of the Citroen master.
- More than one group can be defined for a criterion but at least one must be defined.
Campaign Definition
🔹 Campaign Header: It will consist of the following fields.
- Campaign Identifier
- Campaign Fiscal Year
- Campaign Name
- Campaign Code
- Campaign Start Date
- Campaign End Date
- Type of campaign (purchase or sales)
- Campaign Destination (only for sales campaigns)
- Campaign Center
- Campaign Brand
- Campaign Division
- Campaign Supplier (for Shopping Campaigns only)
🔹 Campaign Status:
- Initial Status: The campaign is being created and is not yet taken into account in the price calculation.
- Confirmed status: The campaign is already confirmed, so it must be communicated to customers and taken into account in the price calculation (always in the campaign's effective range).
- Cancelled status: A campaign that was in force is cancelled, in principle, the campaigns in initial status will simply be deleted. When a cancellation of an existing campaign occurs, this cancellation must be communicated to the customers.
- Erroneous status: This is a campaign that has been tried to be confirmed (manually or automatically), but there is one of the criteria that cannot be applied due to the non-existence of one of the groups or order types of the criteria.
- Confirmation error field
🔹 Customer Details of a Campaign: Here each of the third parties affected by the campaign will be listed. It only makes sense in Sales Campaigns.
🔹 Criteria Details: Here the user defines each of the criteria that apply to a campaign.
🔹 Criteria Order Type Details: Here the user specifies the order types associated with a criteria in a campaign.
🔹 Group Details in Criteria.
Calculation of purchase and sales prices
In the calculation of purchase and sale prices, the existence of a commercial condition is ignored if there is an active campaign that is applicable to the part for which the purchase or sale price is being calculated.
It should be noted that when a sales campaign is marked as a Destination other than specific customers there will be no details of the customers in the campaign, so sales to any customers associated with the Destination will need to take into account the conditions of the campaigns.
Parts Campaigns Follow-up
The Campaign Follow-up is available from which the user can:
- Filter to search for campaigns
- Create Discount Campaigns with the wizard
- Open a Campaign
- Generate Campaign Reports
Purchase Campaign Follow-up is located in the path: [Parts Module -> Parts Tab -> Rates Section -> Supplier Campaign Option].
Sales Campaign Follow-up is located in the path: [Parts Module -> Parts Tab -> Rates Section -> Customer Campaign Option].
Parts Campaign Creation Wizard
The Parts Campaign Creation Wizard will be available in the Campaign Follow-up and will validate that the user has permissions to create a campaign and to view a campaign.
The Wizard will allow the user to create a campaign from 0 or to create a campaign from another existing campaign. In the second case, except for the header values, the details of the source campaign will be copied. These details can be modified in the wizard or later from Maintenance.
The Campaign Center and Division will be selected from the default values of the user creating the campaign.
Maintenance of Discount Campaigns
In the Maintenance of Discount Campaigns, a header, a detail of customers (in the case of a sales campaign) and a detail of criteria will be defined.
The operations that can be performed on a campaign are the following:
- Create the campaign: using the wizard.
- Modify campaign data:
- Change campaign name
- Start and end dates
- Add customers (for sales campaigns)
- Add or remove criteria
- Modify criteria
- Delete Campaign: will delete the campaign completely.
- Confirm Campaign:
- Will finalise the creation of the campaign and communicate it to the customers (in the case of a sales campaign).
- In the case of a purchase campaign, the system will verify that the different groups of the criteria lines exist in the company and if they do not, it will have to communicate their non-existence so that a user can create them.
- Cancel a Campaign: it will mark a campaign as cancelled and will communicate the cancellation of the campaign to the customers (in the case of a sales campaign).
- Export Campaign: will export the campaign in Excel.
- Add a Customer to a Campaign in Force: the maintenance will allow to add a customer to a campaign in force.
- Remove a customer from a current campaign: maintenance will allow you to remove a customer from a current campaign, in all cases it will cancel the customer detail. In the event that the campaign is already published for the customer, a cancellation publication must then be made.
The operation on a campaign will be as follows:
- In Initial status:
- Modify campaign data
- Delete campaign
- Confirm campaign
- In Confirmed status:
- Modify campaign data: When modifying data of a campaign in Confirmed status the system will return the campaign to Initial status and will delete the Update date of the customers of the campaign so that when it is confirmed the campaign will be sent again to the customers.
- Cancel Campaign: During the cancellation of a campaign the system will remove the Update date from the customers of the campaign.
- Export Campaign.
- Add Customer.
- Delete Customer.
- In Cancelled status: The system will only allow to view the campaign and export it to Excel.
- In Erroneous status:
- Confirm Campaign: Normally when confirming a purchase campaign (generally the automatic ones), if the system detects any type of order or any group of those used in the criteria that does not exist, it will modify the error text of the campaign and set the status to erroneous. It will then be necessary to read the error text, correct it (creating the erroneous groups or types of orders) and reconfirm the campaign.
Campaign Communication Mechanisms
There are three types of communications between Supplier and Customer regarding Discount Campaigns:
- Confirmation of a Campaign for the first time.
- Modification of data of an already existing Campaign.
- Cancellation of a Campaign.
In cases 1 and 2, the Supplier's system must communicate to each of the SIMA customers for whom the Campaign is intended the information necessary for its application to create or modify the campaign at the destination.
In case 3, it will have to communicate the campaign to be cancelled so that the SIMA application of the customers can cancel the campaign.
A configuration section will be defined from SIMA Import / Export Management in which the paths where the campaign files will be copied per SIMA dealer receiving campaigns will be specified, with the following data:
- ThirdpartyId: Identifier of the third party (0 in the case of the company itself).
- Prefix: Prefix to be used in the export of Discount Campaigns.
- Type of Customer Order Format:
- Will define the customer order format used by that customer in order to correctly perform the Order Type export.
- The current formats are:
- EREC0001
- EREC0002
- EREC0003
- A5457
- SupplierId: It will only have value in the third party 0 and will define the supplier identifier of the imported campaign (only for purchase campaigns).
- Export Path: Path where to export the Discount campaign, (in the case of third party 0 it will not have a value).
- Import Path: Path from where the Discount Campaigns are imported, (only makes sense in third party 0).
- Copy Import Path: Path where the already imported Campaigns are copied.
- Default center: Default centre of the campaign (only for the third party 0, used for the import).
- Default Division: Default division of the campaign (only for the third party 0, used by the import).
The mechanism should work as follows:
🔹 In the Export:
The system shall, for all customers that are configured and have a confirmed Campaign without sending, generate the Campaign File in the export path of that customer.
In the case of a Campaign Cancellation, a file will be generated.
🔹 On Import:
The system must check if in the import path of the third party 0 there is a Campaigns file. If there is, it must import it, move it to the Copy folder and determine whether it is a Campaign or a cancellation of a Campaign.
In the first case it can be an update or a creation, so the system will have to locate the campaign and its supplier in order to create or modify it. In either case, the campaigns must be in confirmed status.
In the second case, the system should proceed to cancel the campaign.
Export to Excel
The export of campaigns to an Excel file is allowed.
The Excel file will contain the Campaign Header information and the detail lines of the campaign criteria.
Reports
In the Campaign Follow-up, a report is available with information on current and past campaigns that have a Confirmed status.
This report will have two formats:
- Campaigns issued
- Campaigns received
The characteristics of each report are shown below:
🔹 Campaigns received:.
It will be divided into columns, where each column will represent the months elapsed from the effective date of the campaign until the end date of the campaign (or the current date for campaigns that have not ended).
It will show the following data:
- Units: This is the sum of purchased units affected by that Discount campaign.
- RRP: It is the sum of the PVP of the purchased parts affected by the campaign (price list price without commercial conditions).
- Net amount: This is the sum of the net amount of the purchase invoices.
- Discount Applied: This is the weighted discount applied. Calculated as the ratio of the RRP over the net amount.
🔹 Campaigns issued:.
It will be divided into columns, where each column will represent the months elapsed from the effective date of the campaign to the end date of the campaign (or to the current date for campaigns that have not ended). The report shall be grouped by customer.
It will show the following data:
- Units: This is the sum of units sold affected by that Discount campaign.
- RRP: It is the sum of the RRP of the sold parts affected by the campaign (price list price without commercial conditions).
- Net amount: This is the sum of the net amount of the sales invoices.
- Discount Applied: This is the weighted discount applied. Calculated as the ratio of the RRP over the Net.
- Margin: It is the margin over cost of the above defined Net.
- Margin %: It is the Percentage of Margin over the RRP defined above.
