Workshop Job Organizer
📌 Requirements and location
- Location in SIMA: Main menu > Organizer.
- Required permissions: Scheduler role.
- The information shown corresponds to the workshop you have selected.
🧭 Understanding the board
The board displays the schedule as a grid:
- Each column represents a mechanic. To view only certain mechanics, you can filter the list.
- Each row represents a date. The selected date and the following working days for the workshop are shown; the board currently displays three dates.
- Each card represents an order scheduled for a mechanic and a day. If an order has several jobs for the same mechanic and date, they are grouped in the card.
- The position of the cards indicates their scheduling priority. Cards are sorted by priority, not by the time shown as informational data.
- The order of jobs within a card indicates their priority for that order, mechanic, and date.
- Each cell header may show the mechanic’s availability and remaining time for that day.
Depending on the information available, cards show the order reference, vehicle, reception and delivery dates, included jobs, and worked and scheduled times. They may also display visual indicators, for example, for appointments, waiting customers, or active timers.
📅 Viewing other dates
- Use the arrows on either side of the date to move forward or backward by one day.
- Click the date to select another date in the calendar.
- Click Today to return to the current date.
The arrows move one calendar day at a time, even if that day is not a working day. After you change the date, SIMA recalculates the visible rows based on the workshop calendar.
The selected date remains the first row. If it is not a working day, it may still be displayed so you can view orders that were already scheduled; that row will be blocked for new cards. Subsequent non-working days are not included among the following dates shown on the board.
🔎 Filtering mechanics and viewing the queue
Filtering by mechanic
- Open the mechanic filter.
- Select one or more mechanics and confirm your selection.
- To show all mechanics again, clear the filter or select all mechanics.
The filter is saved for your next visits to the Organizer. Limiting the visible mechanics also limits the schedule shown on the board.
Viewing orders in the queue
When one of the visible dates is today, the Orders in queue control appears. Turn it on to dim today’s orders on the board that meet the Organizer’s recorded-time condition.
This control does not remove the cards; it only changes their appearance to help you distinguish them.
🔍 Searching for an order or appointment
- Enter the order reference or the numeric appointment code in the search field.
- Click the magnifying glass or press Enter.
- When SIMA finds the order, it is selected and its details appear in the Selected order tab.
If a mechanic filter is active, the order may be found even if its card is not visible on the board. Expand the filter to check whether it is scheduled for another mechanic.
📋 Viewing orders in the side panel
The side panel lets you review different types of orders:
- Selected order: Shows details for the order you selected on the board or found using search.
- Waiting customers: Shows orders associated with customers who are waiting. The tab may display an order count.
- Unassigned: Shows orders pending review or assignment.
- Scheduled by teams: Shows orders scheduled by teams.
Select a card in the panel to view the order. For cards with jobs, you can also select a job to navigate the board to its date and mechanic, when that schedule is available.
🖱️ Assigning, moving, or reordering jobs
You can schedule jobs from the board or from cards in the side panel.
Moving a card on the board
- Drag the card to the destination cell for the mechanic and date.
- Drop it in the desired position in the list.
- Wait for SIMA to save the schedule and update the screen.
Moving a card on the board moves the group of jobs it represents for that mechanic and day.
Scheduling from the side panel
- In a side-panel tab, find the order or job you want to schedule.
- Drag the order card to assign its available jobs.
- If you only want to schedule one job, drag that job individually.
- Drop the card or job in the destination cell.
Finished jobs cannot be assigned by dragging. You also cannot drop cards on a blocked or non-working date.
Changing the priority of cards
Drag a card to another position within the same cell to change its priority relative to the other cards. The card remains assigned to the same mechanic and date.
Reordering jobs within a card
When a card contains several jobs, you can change their order within that card:
- Drag the job row using the drag handle.
- Drop it in its new position in the job list.
- Wait for SIMA to save the change.
This changes the jobs’ priority for that order, mechanic, and date. It does not move the job to another card or change its mechanic or date. Finished jobs cannot be reordered.
In the side panel, you can also use the Sort jobs action, when available, to reorder the jobs in an order.
If you cancel the drag, drop outside the board or list, or leave the item in the same position, no changes are saved.
Important: If the job or order has an active timer and the change assigns it to a different mechanic, SIMA asks you to confirm. Confirm only if you want to continue with the reassignment.
⚙️ Available job actions
On cards in the side panel, open the job actions menu to see the available options. Options depend on the job’s status.
Changing the scheduled time
This lets you update the planned time for a job that is already scheduled and not finished.
- The new time cannot be less than the time already worked.
- Confirm the change to save the update.
Splitting a job
This lets you separate part of a job’s scheduled time and schedule it on another date.
- The selected date must be today or later.
- You cannot select a non-working day.
- The time being split must be less than the job’s total scheduled time; some time must remain on the original job.
Sorting jobs
This lets you change the priority of the order’s available jobs for the relevant date and mechanic. After you confirm the change, SIMA updates the schedule.
🔄 Refreshing information
- Click Refresh to manually reload the information.
- The Organizer also refreshes automatically every three minutes.
- After moving, reordering, or editing a job, wait for the update to finish before starting another operation.
- If an error message appears, use the Retry option shown on the screen or reload the information with Refresh.
❓ Frequently asked questions and troubleshooting
- Why can’t I drop a card on a date?
The date may be a non-working day or blocked. The selected date may be displayed even if it is a non-working day, but it cannot accept new assignments. - Why can’t I see an order after searching for it?
The filter may be hiding the mechanic responsible for the schedule. Show all mechanics or include the relevant mechanic in the filter. - Can I assign a finished job?
No. Finished jobs cannot be assigned by dragging. - How do I change a card’s priority?
Drag it to another position in the same cell. The card remains assigned to the same mechanic and date. - How do I reorder jobs in a scheduled card?
Drag the job row using the drag handle to its new position within the same card. This changes its priority for that order, mechanic, and date. Finished jobs cannot be reordered. - Can I reorder a job between cards?
No. Reordering within a card only changes the job’s priority. To change its mechanic or date, schedule the job from the side panel in the destination cell. - Why is SIMA asking me to confirm a reassignment?
The job or order has an active timer, and the change affects its assigned mechanic. If you confirm, SIMA continues with the operation. - Why can’t I reduce the scheduled time?
The new time cannot be less than the time already worked. Enter a value equal to or greater than the worked time. - What should I do if the schedule does not load or my change does not appear?
Click Retry if that option appears, or use Refresh. If the problem continues, contact the workshop manager or support.
