Quick Validation of External Services in the Repair Order

Allows the advisor to view External Services allocations within the allocation list of each job to quickly validate which subcontracted operations are part of the repair.

Step-by-Step Guide

  1. Open a vehicle's repair order in the advisor view.
  2. Select a job from the job list.
  3. Verify that, if any External Services allocations exist, they are correctly displayed in the job's allocation list.
  4. Review the main visible information on each line: icon, code, description, supplier, status, unit RRP, total cost, and payers.

Pro Tips / Usage Notes

  • This visualization applies exclusively to the Advisor role within the workshop order view.
  • In the Mechanic view, External Services are not displayed in the task allocation list.
  • Reviewing this data directly from the order helps detect and correct potential operational errors before proceeding to final closure or invoicing.

Relationship with Other Modules Connects directly with the operational details of the repair order and the economic traceability of tasks that depend on an external supplier.

Comprehensive Audit of External Service Details

Allows opening the details of an External Service allocation to consult all its functional, economic, and documentary information, including the complete status change history.

Step-by-Step Guide

  1. From the order view, locate the required External Service allocation and select the View details option.
  2. In the pop-up modal window, review the record's base information: description, budget status, and budget identifier (if it exists).
  3. Check the visible operational and economic data according to workflow availability: authorization code, assigned supplier, RRP, and unit cost.
  4. Verify the associated document identifiers: if it is a provision, check the provision identifier; if it is an invoice, validate the invoice identifier; and if applicable, the blocked provision indicator.
  5. Carefully review the available dates of the external process: departure date, estimated delivery date, and actual delivery date.
  6. Consult the status changes tab to chronologically audit the detailed history with its respective date, time, and responsible user.

Pro Tips / Usage Notes

  • All information contained and shown in the detail modal is strictly read-only.
  • The history allows you to perform complete audits on key service transitions, such as Requested, Started, Completed, or Cancelled.
  • If the system does not have a specific reference in the workflow (such as budgets, provisions, invoices, or registered dates), that data field will simply not render on the screen.

Relationship with Other Modules Integrates seamlessly with budget management processes, workshop authorizations, external document management, and the general traceability of repair order statuses.

Efficient Cost Distribution for External Services

Allows managing the distribution of payers for an External Service allocation to accurately reflect who assumes the total or partial cost of the concept (customer, warranty, or other applicable schemes).

Step-by-Step Guide

  1. In the repair order, locate the External Service allocation you want to configure.
  2. Open the line's contextual menu by clicking on the kebab menu (three vertical dots icon ⋮) at the end of the row.
  3. Select the Edit payers option as soon as it becomes available.
  4. Within the payers modal, enter the corresponding percentages to adjust the distribution among the involved entities as appropriate.
  5. Click the Save button and verify that the allocation line refreshes on the screen with the updated payer information.

Pro Tips / Usage Notes

  • The Edit payers option will not be displayed under any circumstances if the allocation is in a Cancelled status.
  • Visibility and access to this functionality depend directly on the allocation of the order having the technical property CanEditPayers enabled.
  • After saving, always validate the distribution in the list to ensure that the sum of the configured percentages is exactly 100.00%, thereby avoiding real-time warnings or blocks.

Relationship with Other Modules Directly impacts the economic allocation logic of the order, interacts with the general component for managing payers by allocation, and assists in clean data preparation for final invoicing processes.

Secure Cancellation of External Service Allocations

Allows cancelling an External Service allocation when it has been registered by mistake, is duplicated, or no longer applies to the repair, keeping the rest of the order's jobs intact.

Step-by-Step Guide

  1. On the repair order screen, locate the External Service allocation you need to cancel.
  2. Open the contextual menu corresponding to that allocation line.
  3. Select the Cancel option as soon as it appears enabled in the user interface.
  4. Confirm the action by responding affirmatively to the pop-up confirmation message displayed by the system.
  5. Visually verify that the allocation immediately changes to the Cancelled status and that the lines view updates automatically.

Pro Tips / Usage Notes

  • The Cancel action will be completely disabled in the interface if the selected allocation already holds a prior Cancelled status.
  • This option will also not be available in repair orders listed as "Unplanned" or in general jobs that have already been marked as Cancelled or Completed.
  • After executing a cancellation, it is advisable to thoroughly validate the global job status to ensure consistency in the workshop's production workflow.

Agile Reassignment of External Services Between Jobs

Allows moving an External Service allocation from one job to another within the same order to quickly correct assignment errors without needing to re-enter data into the system.

Step-by-Step Guide

  1. Access the detail screen of an order that has at least two jobs loaded in its breakdown of faults.
  2. On the line of the External Service you need to transfer, expand the contextual menu and select the Move to another job option.
  3. In the pop-up modal window that opens, expand the selector and choose the available destination job.
  4. Confirm the move by pressing the modal's acceptance button.
  5. Verify on the main screen that the allocation completely disappears from its original job and is correctly listed under the selected destination job.
  6. Check that the system automatically recalculates the total amounts and economic balances for both affected jobs.

Pro Tips / Usage Notes

  • If the repair order has only one single job registered, the reassignment option will not be displayed on the screen or will appear disabled.
  • This functionality will not be operational or visible in workshop orders whose management status is listed as Invoiced or Closed.
  • For complex orders with a high volume of assigned jobs, the modal's selector is designed to allow smooth navigation via scrolling.

Relationship with Other Modules Directly affects the operational organization and distribution, as well as the cost balance and allocation lines between the different jobs configured within the same order.

Adding External Services via Search and Cart

Allows searching, selecting, and adding External Services to a job through an agile workflow using a search tool and a temporary cart, including the quick creation of new external services when they do not previously exist in the catalog.

Step-by-Step Guide

  1. In the workshop order, select a job that is fully valid to receive new allocations (ensure it is not in a Cancelled, Completed, Invoiced, Partially Invoiced status, and does not correspond to a Kit structure).
  2. Open the + External option located in the job's side detail panel.
  3. Position yourself on the catalog tab and enter a minimum of 3 characters in the text field to automatically trigger the database search.
  4. Review the matches in the system's results table (you can view the code, description, RRP, cost, invoiceable property, supplier, and the direct add action).
  5. If the required external service is not registered in the catalog, go to the manual creation tab and fill in the mandatory Code and Description fields to add it directly to the cart.
  6. Add one or more service components to your temporary shopping cart.
  7. Open the Cart view if you need to review the selected items, discard specific items using the trash can icon, or empty all accumulated content using the clear button.
  8. Click the Add button within the cart window to permanently confirm the loading of allocations into the workshop task.
  9. Verify that the general interface refreshes and that the new records are correctly listed under the External Services category.

Pro Tips / Usage Notes

  • The system requires entering at least 3 characters in the catalog search bar; otherwise, the automatic query will not execute on the server.
  • The smart search bar allows you to quickly locate items by both their reference code and their text description.
  • The cart functionality allows adding the same External Service multiple times within the same upload session if operationally necessary.
  • If the system experiences a connection failure or error when confirming the cart, it will display a warning message at the bottom of the screen and will not register the allocations in the task.
  • When performing a quick add of an external service created "on the fly," the application might show an informational notification recommending a subsequent review of the correct accounting configuration for that record within the general catalog.

Relationship with Other Modules Integrates directly with the company's external services catalog/master list, the system's general search logic, the task allocation cart component, quick record creation workflows, and the dynamic refresh of lines within the workshop order.
