Observation management panel

This document explains how to use the unified dashboard to manage observations from the Workshop Order (TO) and their Jobs associates.

Overview

The new observation panel centralizes all internal and customer-facing communication into a single view, divided into two main sections:

  1. Order Observations: The panel on the left (titled "Order") shows all the general observations that apply to the workshop order as a whole.
  2. Work Observations: The panel on the right (titled "Job"This allows you to view and add specific comments for each individual work order. You will need to select a job from the drop-down menu to view or add comments related to it.

Types of Observations

There are two types of observations you can record in the system. It's crucial to understand the difference between them:

  • Internal Notes (Not Printable):
    • These are notes for the exclusive use of workshop personnel (Consultants, Mechanics, etc.).
    • They are not visible to the customer and they do not appear in any printed document.
    • In the interface, they appear without any special label.
  • Customer Notes (Printable):
    • These are notes that will be shared with the client and will appear in the order documents.
    • In the interface, they are clearly identified with the green label VISIBLE BY CUSTOMER.

How to Use the Panel

See Notes

  • Select a tab to view internal or customer observations
The customer's comments are those that will be visible to the customer, that is, they will be shown in the order summary that is delivered (printed or in pdf) at the time of delivery of the vehicle.
  • Of the Order: The general observations of the OT are automatically listed in the left panel in chronological order (most recent first).
  • From a Job:
    1. Go to the right panel, "Job".
    2. Click on the drop-down menu "Select a job".
    3. Choose the specific job whose observations you wish to consult.
    4. The panel will be loaded with all the observations from that job in chronological order (most recent first).

Add a Comment

The process is identical for both the Order and the Work:

  1. Write your comment in the text field ("Write your comment for the order..." either "Write your observation for the job...").
  2. You have a limit of 500 characters.
  3. Click the button ADD.

Your comment will appear immediately in the corresponding list in the first position of the history (in the case of customer comments, a label will be added). VISIBLE BY CUSTOMER which indicates that only that comment will be included in the order summary).

Role-Based Permissions

Not all users have the same permissions. The ability to add comments for the client is controlled by roles.

Traceability

To ensure clear tracking, each observation recorded in the system shows who created it and when.

  • User: The name of the user who added the comment.
  • Date and Time: The exact moment the observation was saved.
