## Parts Portal

## 1\. Introduction

The Parts Portal is the tool with which Dealers can create parts orders at the Importer.

Three actions can be performed on this application:

- Create parts orders

- Search the parts orders that have been created at the importer

- Search the invoices issued by the importer

## 2\. Process

### 2.1 Login

The first step to access the application is to log in, for which a screen will appear asking for a username and password.

After validating our user we will see the application with different sections.

On the top right hand side we can change the section of the Dealer, change the language in which we see the application and logout.

### 2.2 Search orders tab

This tab is divided into two sections:

- The upper section where we can establish search filters, by order number, by status, in a range of dates, etc.

- The lower section where the parts orders that meet the established filter conditions will be displayed.

If no filtering criteria are indicated, the application will show all parts orders.

In the upper section, on the right hand side, there is a *Search* button that shows the parts orders.

In this same section there is also an *Export* button that will export the selected parts orders to an Excel file.

To export the parts orders to Excel we have to check the checkbox of the orders to be exported and then press the *Export* button. The checkbox is located to the left of the order.

When we click on the Search button, all the orders that meet the established filtering criteria will be displayed.

Each order has a magnifying glass on the left. Clicking on it will open a window that will show the detail lines that make up the parts order.

In this window we also have the *Export* button in the lower right corner, which will export the detail lines that make up the parts order in an Excel file.

In the bottom left-hand corner there is an informative legend showing what the different symbols that may accompany the detail lines mean.

Clicking on the *x* in the upper right-hand corner of this window takes us back to the list of parts orders.

### 2.3 Search invoices tab

This tab is divided into two sections:

- The upper section where we can establish search filters, by invoice number, by status, in a range of dates, etc.

- The lower section where the invoices that meet the established filter conditions will be displayed.

If no filtering criteria are indicated, the application will show all invoices.

In the upper section, on the right hand side, there is a *Search* button that shows the invoices.

In this same section there is also an *Export* button that will export the selected invoices to an Excel file.

To export the invoices to Excel we have to check the checkbox of the invoices to be exported and then press the *Export* button. The checkbox is located to the left of the invoice.

When we click on the Search button, all the invoices that meet the established filtering criteria will be displayed.

Each invoice has a magnifying glass on the left. Clicking on it will open a window that will show the detail lines that make up the invoice.

In this window we also have the *Export* button in the lower right corner, which will export the detail lines that make up the invoice in an Excel file.

Clicking on the *x* in the upper right-hand corner of this window takes us back to the list of invoices.

- Click on the *+* button and the line will be created

- Repeat these steps for each of the parts to be included in the order to the supplier

- We can delete a detail line by clicking on the *x* on the left of the line, if we perform this action the application will ask us to confirm it

- In the field *Campaign code* we can indicate a discount campaign number provided by the importer

## 3\. Manage Web Users

### 3.1 LOG IN in SIMA

To enter the *Web Parts Orders* we must have a username and password linked to a third party.

In a Hungarian market a third party is a Dealer, who can have several users.

These users must be associated with a section, and there can be more than one user per section.

### 3.2 Where create an user in SIMA

In SIMA the web users can be viewed in the following path: *\[Parts Module -> Settings Tab -> Customers Section -> Web orders Option\]*.

In this window, clicking on the *Search* button will display all third parties who have access to the web parts order.

If we right-click on one of them, a context menu will appear in which we can modify its data.

When we select the modify option, the third party configuration window will appear.

### 3.3 Sections:

🔹 *Customer section:*

Where the third party is indicated, in our case the name of the Dealer.

🔹 *Parameters section:*

Where we specify the warehouse to which it will have access and the permissions on it, for example *Search for net availability* or *Automatic assignation*.

🔹 *Order types section:*

Where we indicate what types of orders the third party can make, it must be taken into account that all the users associated with this third party can make orders of these types.

🔹 *Users section:*

Where we define the different users that the Dealer will have.
In this section you have to define several data:

- User's name

- Password

- Email address

- Whether or not they can create orders

- The section of the Dealer, to which this user will be associated.

When we add a line or make a modification we must change the line.

After entering the user data, we must press the Accept button to save the changes.

### 3.4 Delete an existing user

Click on the grey box to the left of the user and choose the *Delete* option.

To save the changes, click on the Accept button.

### 3.5 Users linked to a dealer

In SIMA we have a report that shows us all the users associated with a Dealer.

This report can be found in the path: *\[Parts Module -> Reports Tab -> Management Section -> Miscellaneous Reports Option -> List of Part Website Users Report\]*.

Filter by the Dealer code and click on the Accept button. The report will show us the data of the users associated with that Dealer.

If we do not enter a Dealer number, the report will show the information of all users of all Dealers.
