# Spare parts details in the order

## Spare Part History

Allows you to view the chronological log of each spare part within the order to identify its current status and explain the repair progress to the customer with clear context.

**Step-by-Step Guide**

- **Access the repair order** and locate the line item of the spare part you want to review.
- **Expand the spare part details** to open its history log.
- **Review the descending chronological list**, where the most recent event appears first.
- **Check each entry** for the status description, the responsible operator, and the exact date/time.
- If the part has not been ordered yet, verify the message **"Pending warehouse request"** to confirm that the request has not yet been formalized.

**Pro Tips / Usage Notes**

> - **Initial States:** A newly requested spare part may show a single initial history event until new changes occur.
> - **Bottlenecks:** This view is especially useful for detecting bottlenecks between the initial request, availability, pickup, and installation.
> - **Traceability:** If the part has already been installed, the history allows you to reconstruct the entire sequence without leaving the work order.

**Integration with Other Modules**

Connects the order details with warehouse operations, spare parts traceability, and customer status updates.

## Spare Part Authorization

Allows you to authorize or cancel the authorization of a spare part directly from the order itself to speed up the procurement process with the supplier and keep a record of who approved the piece and when.

**Step-by-Step Guide**

- **Open the order** and locate a spare part in the technical status **"Needs authorization"** or **"Pending authorization"**.
- Click **Authorize** directly from the spare part's line item.
- Verify that the status changes to **"Waiting for supplier"** or **"Pending supplier"**.
- Check that the button is replaced by an indicator showing the user and the exact date/time of authorization.
- If you need to revert the action, use **Cancel Authorization** and confirm the change.

**Pro Tips / Usage Notes**

> - **User Roles:** Managing and supervising these indicators is primarily designed for the **Service Advisor** role.
> - **Reverting Actions:** When cancelling an authorization, the spare part returns to its previous state, and the change is formally recorded in the order history.
> - **System Errors:** If the network service or system fails, a warning message will be displayed, and the previous status will be maintained without modification.

**Integration with Other Modules**

Directly impacts the spare part approval workflow, supplier relations, and the operational history of the order.

## Spare Part Price Inquiry

Allows you to check the updated retail price (PVP) of a spare part from a modal window without leaving the order, providing the necessary information to update the customer on the spot.

**Step-by-Step Guide**

- **From the order**, locate the spare part whose price you need to check.
- Click the **Check Price** button.
- **Review the modal window** containing data for *Third Party/Customer*, *Part Reference*, *Customer Retail Price*, and the associated legal disclaimer.
- Once done, close the window using the **X** or by pressing the **Escape** key.

**Pro Tips / Usage Notes**

> - **Connection Issues:** If the price lookup service does not respond due to a connection issue, the modal will display a warning or error message instead of the amount.
> - **Missing Rates:** If the spare part does not have a defined rate in the system, it will properly inform you that the price is unavailable.
> - **Informational Only:** The inquiry is strictly informative and does not automatically alter the spare part line item or the current status of the order.

**Integration with Other Modules**

Links the work order with pricing logic, quick estimate/quote creation, and direct customer service.

## Spare Part Budget Control

Allows you to mark or unmark a spare part as subject to an estimate/budget to block subsequent actions until explicit financial approval is granted.

**Step-by-Step Guide**

- **Access the details** of the spare part line item allocation within the work order.
- **Review the visual budget indicator** to check its current status regarding the breakdown.
- Activate the **"Requires Budget"** control when the part needs prior validation or acceptance from the customer.
- Confirm that the system displays the indicator next to the spare part and blocks subsequent actions such as **Authorize** or **Request**.
- Deactivate the control once approval is resolved so that actions become available again.

**Pro Tips / Usage Notes**

> - **Preventive Control:** This indicator serves as a critical preventive control to avoid automatic supplier requests or unapproved installations.
> - **Permissions:** Users without the required permissions or roles can view the budget status but cannot modify it.
> - **Efficiency:** It is highly recommended to urgently review items with a high volume in **"Pending budget"** to avoid delays in the final delivery of the vehicle.

**Integration with Other Modules**

Integrates directly with the overall budget control of the order, the current jobs tab, and subsequent logistical management of the spare part.
