# Workshop tracking

The Workshop Tracking screen provides an overview of upcoming appointments and active workshop orders. You can review information by adviser and open related order, vehicle, and third-party records.

## Requirements and location

**Location in SIMA:** Main menu > **Workshop Tracking**.

**Permissions:** Access requires an adviser profile and an assigned workshop. If you cannot see or open the screen, ask your manager to check your profile and workshop assignment.

When you open the screen, SIMA loads the workshop’s advisers and displays two sections:

- **Appointments**, for a specific date.
- **Workshop orders**, showing active orders for the selected adviser.

## View appointments

1. In **Adviser**, select the person whose appointments you want to review.
2. - SIMA initially selects the signed-in user if their profile matches an available adviser.
    - Changing the adviser refreshes both the appointments and orders.
3. In **Select a date**, choose the day you want to view.
4. - The default date is today.
    - You cannot select dates before today.
5. Confirm or save the date in the date picker to apply the change.

The **Appointments** list shows the selected adviser’s appointments for the chosen day. You can view:

- **Appointment number:** The appointment identifier. Select it to open the related order.
- **Time:** The appointment time in your local time zone.
- **License plate:** Select it to open the vehicle record.
- **Depositary:** Select the name to open the third-party record.
- **Contact method:** The recorded method, such as email, phone, or SMS.
- **Phone and email:** The depositary’s contact details, if available.
- **Type:** The appointment type, such as in-person, budget, or postponed.
- **Order:** The reference for the related order. Select it to open the order.
- **Responsible mechanic:** The mechanic associated with the appointment, if provided.
- **Replacement vehicle:** Indicates whether a replacement vehicle is registered.
- **Crane service:** Indicates whether the appointment includes this service.
- **Delivery service:** Indicates whether the appointment includes this service.
- **Actions:** Opens the row’s menu. Select **View details** to open the related order.

Optional details that are not available may appear as a dash (—). Indicators are shown visually as yes/no marks. The table does not offer column filters or manual sorting.

### View all appointments

Select **View all**, next to the section title, to open the adviser’s general appointments screen. The date selected in Workshop Tracking is not carried over to that screen.

## View workshop orders

The **Workshop orders** section shows active orders for the selected adviser. It is not affected by the date selected for appointments.

Cancelled orders, orders pending reception, orders whose follow-up has ended, and delivered orders are not shown. Orders with a running timer are prioritized, followed by the nearest planning and opening dates. The table does not offer column filters or manual sorting.

Order statuses appear with their translated descriptions. Examples include **Available**, **Initiated**, **Notified**, **Open**, **Partially available**, **Pending budget**, **Pending parts**, **Pending part authorization**, and **Pending technical or administrative verification**.

You can view:

- **Order:** The order reference. Select it to open the order.
- **Status:** The order’s current status.
- **Make and model:** Vehicle information.
- **Identifier:** Select it to open the vehicle record.
- **Depositary:** Select the name to open the third-party record.
- **Customer waiting:** Indicates whether the customer is waiting at the workshop.
- **Assigned mechanic:** The mechanic assigned to the order, if provided.
- **Opening date:** The date the order was opened.
- **Delivery date:** The recorded delivery date, if available.
- **Next planning date:** The next scheduled planning date, if available.
- **Planned hours:** The estimated hours for the order’s jobs.
- **Only external services pending:** Indicates whether only external services remain pending.
- **Courtesy vehicle:** The associated courtesy vehicle, if provided.
- **Quick notes:** A short note associated with the order.
- **Actions:** Opens the row’s menu. Select **View details** to open the order.

Quick notes longer than 50 characters are shortened in the table. Hover over a note to see the full text. If an order has no notes, a dash (—) is shown.

### View all orders

Select **View all**, next to the section title, to open the general orders list.

## Open related records

You can open records by selecting linked values in the tables or by using the **View details** menu:

- An order number or reference opens the order.
- A vehicle’s license plate or identifier opens the vehicle record.
- A depositary’s name opens the third-party record.

Workshop Tracking is for viewing information and navigating to related records. To update an appointment, order, vehicle, or third-party record, open the relevant screen and use the options available there.

## Loading and refreshing information

- When you first open the screen, a loading indicator may appear while SIMA retrieves advisers, appointments, and orders.
- Changing the adviser refreshes both lists with the relevant information.
- Saving a different date refreshes the appointments. Orders remain associated with the selected adviser and are not filtered by date.
- A loading indicator may appear within a table while it refreshes.

## Frequently asked questions and troubleshooting

### How do I change the adviser I’m viewing?

Open the **Adviser** selector and choose another name. SIMA refreshes the appointments and orders for that adviser.

### How do I view appointments for another day?

Select a date and confirm or save the change. This refreshes the appointments, but does not change the orders list.

### Why can’t I select a past date?

The date picker allows today or a future date. You cannot view past appointments from this screen.

### Why can’t I see orders for a particular date?

Orders are not filtered by the appointment date selector. The list shows active orders for the selected adviser, excluding orders in the statuses described above.

### Why isn’t an order shown?

Check that you selected the correct adviser. The order may also be cancelled, pending reception, have ended follow-up, or be delivered. To look for other orders, select **View all**.

### What should I do if no advisers appear?

Check that you have a workshop assigned and that advisers are available for it. If the list is still empty, contact your administrator or workshop manager.

### What should I do if an error appears while appointments or orders are loading?

SIMA displays a message indicating which information could not be loaded. Try again. If the problem continues, contact support and specify whether the error affects advisers, appointments, or orders.

### What should I do if the screen stays on the loading indicator?

Reload the screen. If it continues loading, contact support and provide the workshop and adviser you were viewing. If SIMA cannot load the advisers, the screen may not display its contents.

### Why can’t I see the phone number, email address, or mechanic?

These details depend on the information recorded for the appointment or order. If they are unavailable, they may appear as a dash or be left blank. Check the related record or ask for the information to be completed.

### How do I view the full text of a quick note?

Hover over the shortened note to see the full text.
